Getting 5-Star Vacation Rental Reviews
Part of our series Let Others Pay for Your Vacation Home.
Reviews matter twice: guests read them before booking, and both Airbnb and Vrbo say ratings and reviews affect search ranking (Airbnb Help 39; Vrbo sort order). Most bad reviews come from a gap between what the guest expected and what they found. Close that gap and the stars follow.
How Airbnb reviews work
For home stays, guest and host each have 14 days after checkout to write a review. Reviews are published when both have submitted or when the 14 days end, whichever comes first (Airbnb Help 13).
1. Set honest expectations
- Photos and description should match reality (see our photo and listing guides).
- Mention the limits: stairs, road noise, steep driveways, slow rural internet.
- Guests rarely punish what they were told about. They punish surprises.
2. Make check-in effortless
Self check-in is one of the ten amenities guests searched for most on Airbnb in 2025 (Airbnb). - Send instructions a day or two before arrival, with a photo of the door and the parking spot. - Use a smart lock with a unique code per stay. - Add a note on what to do if the code doesn't work, and a phone number that will be answered. - Leave the porch light on and the house at a comfortable temperature.
3. Write a welcome guide
Keep it short and easy to find (printed in the kitchen, plus a digital copy): ☐ Wi-Fi name and password ☐ how to use the TV, thermostat, hot tub, fireplace ☐ trash and recycling days ☐ parking ☐ house rules in brief (house rules guide) ☐ checkout steps (keep them few) ☐ local favorites: groceries, coffee, restaurants, trails ☐ emergency numbers and the home's address ☐ urgent-care and hospital locations
4. Communicate quickly, and not too much
Airbnb says host responsiveness is part of how it ranks listings, and Vrbo weighs host response time (Airbnb Help 39; Vrbo sort order). A simple message plan: 1. Booking confirmed: thank you and what to expect. 2. Two days before: check-in details. 3. Morning after arrival: "Is everything working well?" This catches problems while you can still fix them. 4. Checkout day: thank you and a light reminder of checkout steps.
Software can send these on a schedule (see our software guide).
5. Handle problems fast and calmly
When something goes wrong, the response often matters more than the problem. - Reply right away, even if it's just "I'm on it." - Fix or offer a fix (a repair visit, a replacement item, a partial refund if the problem was real and significant). - Keep everything in the platform's messages so there's a record. - Don't argue in a public review response. If you reply, keep it short, polite and factual.
Have a local handyperson and backup cleaner on call (see our turnover guide).
6. Small touches
A clean, well-stocked home beats gimmicks. Extras guests often mention: good coffee, extra blankets, a phone charger by the bed, a few local snacks. (General advice; we found no data proving which touches raise ratings.)
What not to do
Don't offer discounts or gifts in exchange for a good review, and don't pressure guests. Asking for an honest review is fine.
