Vacation Rental Software and Management: What You Need

Once you list on more than one site, or live far from the house, the right tools save you hours and prevent double bookings. This guide covers the software stack, then the bigger decision: do it yourself, use a hybrid manager, or hire full-service management.

Note: Hospitable's dollar prices for paid plans didn't load when we checked its pricing page, so we left them out. Hostaway publishes no prices. Lodgify's page shows yearly-billing prices; monthly billing costs more.
All five are on Google's list of vacation-rental connectivity partners. That means they can send your listing to Google so travelers can book directly (Google Hotel Center Help).
How to choose (checklist)
- ☐ Connects to the platforms you use (Airbnb, Vrbo, Booking.com) through API connections, not just iCal. API connections sync faster and carry rates and messages too.
- ☐ Works with your pricing tool and your smart lock
- ☐ Has a direct-booking website, if you want one
- ☐ Price at your property count, including the add-ons you'll actually use
- ☐ Trial period long enough to test a real booking
- ☐ Support hours that match when guests check in
Fee tip: Some platforms charge different fees when you connect through software. On Vrbo, PMS-connected bookings carry a 12% commission (Vrbo Help). On Airbnb, PMS users were moved to the single 15.5% fee (Airbnb). Build those fees into your channel prices.
Smart locks
A smart lock or keypad gives each guest a unique code, so you never hide or mail keys. Choose one that your PMS can program automatically. As one example of the cost, OwnerRez's direct lock integrations (Schlage, Igloohome, Hubitat) cost $4 per lock per month (OwnerRez). Guesty and Hospitable sell lock-management features or plans too.

Cleaning coordination with Turno
Turnovers are the hardest part to run from a distance. Turno syncs with your booking calendars, schedules cleaners automatically, and handles checklists and payments. Under Evolve's model, you arrange the cleaners and pay them from the cleaning fee guests are charged, while Evolve coordinates the schedule (Evolve FAQ). Full-service managers usually run cleaning for you.
Questions to ask any manager
- What exactly is the fee a percentage of: gross bookings, the amount after platform fees, or the amount after cleaning?
- Which fees are extra? AirDNA lists common add-ons: setup or onboarding fees, listing "optimization" fees, maintenance markups, guest-screening fees, and early-termination fees (AirDNA).
- Can I block owner dates whenever I want? Are there limits on owner stays?
- How long is the contract, and what does it cost to leave?
- Who handles lodging tax filing and the permit?
- What are your average occupancy and ADR for homes like mine? Can I talk to current owners?
- What happens when there's damage: how is it documented, and who files the claim?
What does management do to the bottom line?
In our hypothetical pricing example, a 25% full-service fee dropped the share of ownership costs covered by guests from about 82% to about 54%. A good manager can also raise occupancy and rates, so compare the net results, not just the fee percentage.
